Community & Continuing Education Program Coordinator



The Community & Continuing Education Program (CCEP), under the Strategic Engagement Department at VCUarts-Qatar, is a high-paced, service-oriented unit that demands active teamwork and initiative. 

The duties of the CCEP Coordinator include, but are not limited to, providing support, assisting in the daily office needs, and managing the department's general administrative activities.

This is a non-sponsored hourly position with no benefits. Applicants must have a valid residence permit and currently live in Qatar. 

Reports to: Program Manager for Community & Continuing Education

Major Activities & Essential Functions

  • Contacts instructors to confirm their courses, and books classrooms on the EMS system for the programs, and also assists in scheduling community and continuing education programs.
  • Updates VCUarts Qatar’s website with annual courses information as well as sends courses’ confirmation/cancelation emails to both students and instructors in a timely manner.
  • Assists participants in registration as well as creates and distributes participants lists to VCUarts Qatar building security.
  • Emails the feedback forms to both participants and instructors, and oversees all program logistics to ensure the smooth operation for both the community and continuing education programs.
  • Assists in updating the budgets and coordinating financial processes, submits and reconciles expense reports.
  • Assists HR with contracts for instructors, and answers and direct communications channels such as phone calls, emails, and Whatsapp.
  • Assists in the preparation of regularly scheduled reports as well as develops, maintains, and updates a filing system that includes the contact lists, courses, participants list.
  • Manages online materials purchase options for students through working with external vendors to facilitate the material purchase.
  • Update the online payment system with courses, courses information, and prices, as well as manages reimbursement and refunds for instructors and participants.
  • Train student workers and assigns tasks for them, and performs other job-related duties as assigned by either supervisor.


  • A bachelor's degree or equivalent in Business Development, Marketing, and or Project Management.
  • Excellence in written English communication is required.
  • Excellent time management skills, and work to tight deadlines.
