By enrolling in any VCUarts Qatar Community & Continuing Education (CCE) course, you agree to abide by the following Terms & Conditions. These terms govern all aspects of participation, including registration, payments, class policies, and expected conduct.

When registering for a course through our official registration page, you acknowledge that you are agreeing to the most up-to-date Terms & Conditions as published on this page. VCUarts Qatar reserves the right to update or modify these terms at any time. Participants are encouraged to review these Terms & Conditions regularly.

1. Booking and Payment

  • All payments must be completed through the official online payment link provided by VCUarts Qatar or through other approved payment methods, including bank transfers and in-person payments.
  • Some courses may require a qualification test before registration. Where applicable, participants must successfully pass the test before becoming eligible for enrollment and payment.
  • Participants who have not completed payment in full will not be permitted to attend classes.
  • Participants with outstanding balances will not be eligible to receive a certificate of completion.

2. Registration Rules and Deadlines

  • Registration generally closes one week before the scheduled class start date.
  • Seats are available on a first-come, first-served basis and registration may close earlier if a class reaches capacity.
  • Registrations are non-transferable, and only the registered participant is eligible to attend.

3. Seat Reservation

  • Class seats are limited and will only be reserved upon receipt of full payment.

4. Minimum Enrollment Requirement

  • Certain classes require a minimum number of participants to proceed.
  • VCUarts Qatar reserves the right to cancel a class if minimum enrollment is not met.
  • In the event of cancellation by VCUarts Qatar, all paid fees will be refunded in full.

5. Confirmation Emails

  • Enrollment confirmation emails will generally be sent approximately one week before the class start date.

6. Class Materials

  • Participants are responsible for purchasing any required materials listed in the course information unless stated otherwise.
  • Materials should only be purchased after receiving official confirmation that the class will proceed.

7. Cancellation and Refund Policy

  • Refund requests must be submitted at least seven (7) days before the class start date unless the class is cancelled by VCUarts Qatar.
  • For example, if a class begins on a Monday, the refund request deadline is the preceding Sunday.
  • Approved refunds are typically processed within 7–10 business days; however, depending on banking institutions and payment providers, refunds may take up to one month to appear in the participant’s account.
  • Class transfers or credit notes may be requested up to three (3) days before the class start date.
  • Credit notes are valid for one (1) year from the date of issue and are non-transferable.

8. Certificates

  • Certificates are awarded only upon successful completion of all coursework, assignments, attendance requirements, and any other course-specific requirements.
  • Attendance alone does not guarantee the issuance of a certificate.
  • Participants who have not completed payment in full will not receive a certificate.
  • Certificates are not issued for Virtual Studios, Taster Classes, or other short-format programs unless otherwise stated.

9. Code of Conduct and Disciplinary Actions

VCUarts Qatar is committed to maintaining a respectful, inclusive, and professional learning environment. Bullying, harassment, discrimination, intimidation, or disruptive behavior of any kind will not be tolerated.

Behavioral Expectations

Participants must:

  • Treat instructors, staff, and fellow participants with respect and professionalism.
  • Follow all classroom rules and program guidelines.
  • Refrain from bullying, harassment, discrimination, or intimidation.
  • Maintain appropriate behavior and etiquette during both in-person and online sessions.
  • Respect university facilities, equipment, and property.

Consequences for Violations

If a participant violates the Code of Conduct, the following actions may be taken:

First Violation – Verbal or Written Warning

  • A formal warning will be issued informing the participant that their behavior is unacceptable.

Second Violation – Formal Notice and Temporary Suspension

  • Continued misconduct may result in temporary suspension from the class without refund.

Third Violation – Permanent Removal and Future Enrollment Ban

  • Persistent inappropriate behavior may result in permanent removal from the program and restriction from future enrollment in CCE courses.

VCUarts Qatar reserves the right to take immediate disciplinary action, including immediate removal from a program, in cases involving serious misconduct, safety concerns, harassment, discrimination, threats, or other severe violations.

10. Minors on Campus and Youth Program Participation

The following terms apply to all participants under the age of 18 enrolled in VCUarts Qatar Community & Continuing Education youth programs, including children’s programs, high school programs, workshops, camps, and special events.

Parent/Guardian Authorization

  • By registering a minor for a program, the parent or legal guardian confirms that all information provided during registration is accurate, complete, and up to date.

Emergency Contact Information

  • Parents/guardians must provide current emergency contact information and notify VCUarts Qatar of any changes during the program period.
  • At least one parent or authorized emergency contact must remain reachable during program hours.

Medical Information and Emergency Care

  • Parents/guardians are responsible for disclosing any medical conditions, allergies, medications, dietary restrictions, or other information that may affect the participant’s safety or participation.
  • In the event of an illness, injury, or medical emergency, and if a parent or guardian cannot be reached, VCUarts Qatar may seek appropriate emergency medical assistance on behalf of the participant.

Supervision and Participant Safety

  • VCUarts Qatar is committed to providing a safe, respectful, and supportive learning environment for all participants.
  • One-on-one unsupervised interactions between staff members and minor participants are prohibited except where visibility and oversight are maintained.

Arrival and Departure

  • Parents/guardians are responsible for ensuring that participants arrive and depart at the designated program times.
  • For children’s programs, participants will only be released to a parent, guardian, or authorized individual identified during registration.
  • For high school programs, parents/guardians may authorize independent arrival and departure during registration.

Photography, Video, and Media

  • Photographs and video recordings may be taken during program activities for educational, promotional, reporting, marketing, and archival purposes.
  • Parents/guardians will be provided with the opportunity to grant or decline media consent during registration.

Participant Conduct

  • Participants are expected to follow instructor and staff directions at all times.
  • Bullying, harassment, inappropriate language, disruptive behavior, or actions that compromise the safety of others may result in removal from the program without refund.

Personal Belongings

  • Participants are responsible for their personal belongings.
  • VCUarts Qatar is not responsible for lost, stolen, or damaged personal items.

Campus Facilities and Equipment

  • Participants are expected to use university facilities, equipment, and materials responsibly.
  • Any intentional damage to university property may result in financial liability and/or removal from the program.

11. Photography, Video, and Use of Student Work

  • By participating in a course, participants grant VCUarts Qatar permission to photograph, record, display, reproduce, and use images of coursework, projects, and completed artwork for educational, promotional, marketing, reporting, and archival purposes.
  • Any use of participant likenesses will be governed by the media consent preferences submitted during registration.

12. Health and Safety

  • Participants must comply with all health, safety, and emergency procedures communicated by VCUarts Qatar staff.
  • Failure to follow health and safety requirements may result in removal from the class or program without refund.

13. Building Access

  • Participants are only permitted in designated classrooms, studios, and approved program areas during scheduled class hours.
  • Access to restricted areas of the university is prohibited unless authorized by VCUarts Qatar staff.
  • Participants must comply with all university security and campus access requirements.

Agreement and Updates

By registering for a class through the VCUarts Qatar registration system, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
