Administrative Business Coordinator (non-benefited)

Summary

Reporting directly to the VCUarts Qatar Director of Libraries, the Administrative Business Coordinator provides support for the VCUarts Qatar Art and Design Library, Materials Library, Innovative Media Studios, and Writing Center. The individual in this position will perform a wide range of complex administrative and clerical support duties in support of each of these units. The position requires attention to detail, excellent communication and interpersonal skills, and ability to provide and manage information and service to internal employees and external contacts. Requires knowledge of the VCU and VCUQatar departmental policies and procedures.

This is a non-sponsored hourly part-time position with no benefits based on a maximum of 19 hours per week. Applicants must have a valid residence permit and currently live in Qatar.

Major Activities & Essential Functions

  • Provides direct administrative support for Library Department faculty and staff.
  • In coordination with the department’s Acquisitions Manager, provides support for department purchases which may include obtaining quotes from vendors, scheduling vendor site visits, and receiving shipments.
  • Supports and maintains a filing system for the department’s digital file repository, and reconciles all petty cash and ChromeRiver requests for the department.
  • Organizes and updates library internal policies and internal forms, as necessary.
  • Prepares and submits travel requests for the department and its visitors, as well as, serves as logistical liaison for external visitors to the library.
  • Manages supply inventory for the department, and assists with planning logistics for Library department event and activities.
  • Liaises with Facilities and Safety offices to maintain the department’s four separate areas including their maintenance and safety.
  • Performs other job-related duties as assigned.

Qualifications

  • High school diploma; and minimum of 3 years of documented administrative experience in a busy, complex work environment.  Experience in a university context is preferred.
  • Advanced working knowledge of Google office products.
  • Advanced working knowledge of MS Excel.
  • A documented history of financial record-keeping.
  • A working knowledge of ChromeRiver and RealSource is preferred but not required.
