Community & Continuing Education Coordinator (non-benefited)

Summary

The Community & Continuing Education Coordinator will perform a variety of administrative and clerical tasks. The duties include providing support, assisting in daily office needs, and coordinating the department’s general administrative activities.

This is a non-sponsored hourly position with no benefits based on a maximum of 37.5 hours per week. Applicants must have a valid residence permit and currently live in Qatar.

Major Activities & Essential Functions

Program Coordination and Scheduling:

  • Contacts instructors to confirm courses and schedule community and continuing education programs.
  • Books classrooms using the EMS system and assists HR with instructor contracts.
  • Ensures all program logistics are overseen to guarantee smooth operation for Community and Continuing Education (CCE) programs.

Communication and Marketing:

  • Updates VCUarts Qatar’s website and manages all CCE social media platforms with course information.
  • Sends course confirmation or cancellation emails to students and instructors, and distributes feedback forms after courses.
  • Implements marketing plans, updates advertising artwork, and handles related follow-up tasks.

Administrative Support:

  • Assists participants with in-person registration and handles communications via phone calls, emails, and WhatsApp.
  • Creates and distributes participant lists to building security and reception, and coordinates with instructors and TAs on class materials.
  • Assists in the preparation of reports and maintains a comprehensive filing system for contacts, courses, and participant information.

Financial and Inventory Management:

  • Handles online materials purchasing through external vendors and coordinates with the bookstore on material needs.
  • Updates the online payment system with course details and pricing.
  • Handles reimbursements, and refunds for instructors and participants, and maintains inventory lists, conducting periodic updates.

Training and Development:

  • Trains student workers, assigns tasks, and manages their schedules to support program needs.
  • Performs other job-related duties as assigned by the supervisor.

Qualifications

  • A bachelor’s degree or equivalent in Business Administration, Marketing, or Project Management.
  • Proven experience in handling a wide range of administrative tasks, demonstrating strong organizational skills and the ability to manage multiple priorities effectively.
  • High proficiency with using Adobe Cloud suite (including Illustrator and in-design).
